About These Secretary Vacancies

The South African Department of Defence has two exciting Secretary positions available within the South African Air Force (SAAF). Both posts offer valuable administrative experience, exposure to high-level office operations, and opportunities to develop skills in document management, communication, coordination, and professional office support.

Key Responsibilities

General Secretarial & Office Support

  • Manage the Manager’s diary, appointments, and daily schedules.
  • Provide secretarial support during board meetings.
  • Compile agendas, take accurate minutes, and distribute follow-ups.
  • Write and type letters, memorandums, reports, and official documents.
  • Maintain a professional filing system, including classified documents.
  • Receive and direct incoming calls to relevant role players.
  • Prepare briefing notes and meeting packs for the Manager.
  • Coordinate both internal and external visitors.

Administration & Office Coordination

  • Handle daily roll call for the Unit.
  • Process the Manager’s travel arrangements and S&T claims.
  • Identify venues and organise logistics for meetings and events.
  • Order stationery and manage office equipment.
  • Monitor monthly leave registers and telephone bill submissions.
  • Stay up to date with departmental procedures and policy requirements.

Operational Support

  • Assist the Manager by analysing documents and preparing action lists.
  • Ensure follow-up on decisions made in meetings.
  • Coordinate social functions and staff events when required.
  • Liaise with travel agencies and ensure proper documentation for trips.
  • Support tasks requiring confidentiality, discretion, and accuracy.

Requirements

Minimum Qualification

  • Grade 12 (NQF Level 4) or equivalent.

Recommended Skills & Competencies

  • Secretarial or administrative experience (advantage).
  • Strong MS Word, Excel, and PowerPoint skills.
  • Excellent typing and document-preparation abilities.
  • English proficiency (verbal and written).
  • Strong organisational ability and attention to detail.
  • Analytical and problem-solving skills.
  • Ability to work with discretion, confidentiality, and tact.
  • Good interpersonal and communication skills.
  • Ability to research, analyse information, and prepare documentation.
  • Reliability and the ability to multitask in a busy office environment.
  • Legal secretarial background (advantage for SAAF HQ post).
