Job Overview

The Department of Agriculture, Land Reform and Rural Development (DALRRD) is seeking a dedicated and experienced Administration Clerk (Supervisor) to provide clerical, procurement, HR, and financial support within the Public Private Partnership (PPP) environment.

This role requires strong organisational skills, attention to detail, and the ability to supervise staff while ensuring compliance with public service regulations.

Key Responsibilities

1. Clerical & Office Administration

  • Supervise and deliver general administrative support services.
  • Record, organise, store, and retrieve correspondence and data.
  • Update registers, statistics, and maintain document management.
  • Handle routine enquiries and manage photocopying, faxing, and document distribution.
  • Maintain filing systems and manage incoming/outgoing registers.
  • Type letters, minutes, and basic correspondence.

2. Supply Chain Support

  • Liaise with internal and external stakeholders regarding procurement.
  • Obtain quotations and complete procurement documentation.
  • Maintain stock control of office stationery.
  • Update and manage the component’s asset register.

3. HR Administration

  • Maintain leave records, personnel files, and attendance registers.
  • Arrange travel and accommodation for staff.

4. Financial Administration

  • Capture and update expenditure data.
  • Verify subsistence and travel claims before submission.
  • Handle petty cash and telephone accounts.

5. Staff Supervision

  • Allocate tasks and ensure quality control of work.
  • Support staff development and performance assessment.
  • Apply discipline when required.

Minimum Requirements

To be considered, applicants must have:

  • Grade 12 / Matric certificate.
  • At least 3 years’ relevant administrative experience.
  • Knowledge of:
    • Clerical procedures and data systems
    • Public Service regulatory frameworks
    • Office administration practices
  • Skills required:
    • Computer literacy
    • Good verbal and written communication
    • Strong planning and organisational skills
