Job Description
Key Responsibilities:
1. Manage Reporting and Renewal Pipeline:
- Coordinate and oversee the lease renewal pipeline.
- Monitor and manage all Lease Renewal/Space Option/Extended Tenure data.
- Prepare and control various reports, including renewal, radar, and viability schedules.
2. Property Administration Management:
- Address property-related queries.
- Ensure timely completion of lease renewals and related paperwork.
- Accurately and promptly prepare Heads of Agreement and viability requests.
- Compile and issue Project Files on time.
- Prepare Executive Summaries efficiently.
- Update and maintain landlord contact information in SAP.
- Coordinate, collect, and update monthly turnover figures by shopping centre.
- Perform ad hoc duties as required.
3. Process Management:
- Maintain electronic filing systems for developments and store leases.
- Ensure administrative processes are efficient and updated regularly.
4. Stakeholder Management:
- Manage relationships with both internal and external stakeholders (e.g., Financial Managers, Landlords).
5. People Management:
- Work closely with Property Managers and the Head of Property Developments to meet objectives.
Qualifications and Experience:
- Finance or Admin-related degree or diploma.
- Property-related Degree or Diploma (advantageous).
- Experience in lease/property administration (advantageous).
- Experience in general administrative roles (advantageous).
- Proficient in Word, Excel, and PowerPoint. SAP experience is preferred.

About the Team:
The Property Management team at TFG handles the daily management, maintenance, and optimization of our property portfolio. We work with landlords to ensure our strategic location objectives are met, and manage long-term facility plans including budgeting, occupational health and safety, facility improvements, and managing a variety of locations such as stores, distribution centres, and offices.
